Location:  Remote (with potential travel to Egypt if required)

Summary: As the Personal Assistant to the CEO, you will play a key role in supporting the business by managing administrative tasks, scheduling, client communications, and project coordination. You will work closely with the CEO to ensure the smooth operation of day-to-day activities, allowing the CEO to focus on business growth. This role requires a high level of organization, communication, and discretion, as you will handle sensitive information and work on a variety of tasks to support business goals.

 

Key Responsibilities: 

- Calendar & Schedule Management: Organize and manage the CEO's calendar, including scheduling meetings, consultations, and travel.

- Client Relations: Serve as a point of contact for clients, responding to inquiries, confirming bookings, and ensuring client satisfaction.

- Document Management: Create, update, and organize documents, contracts, and client records. Maintain and manage important files related to clients and business operations.

- Email & Communication: Manage the CEO’s inbox, prioritize emails, and respond on behalf of the CEO when necessary. Maintain clear and timely communication with clients, vendors, and team members.

- Project Coordination: Assist in the coordination of business projects, such as property visits, furnishing plans, and move-in logistics, ensuring deadlines are met.

- Task Prioritization: Help prioritize and manage multiple tasks and projects to ensure that the CEO can focus on key objectives.

- Client Consultation Prep: Prepare for client consultations by gathering background information, preparing documents, and ensuring all necessary materials are ready.

- Follow-Up Tasks: After consultations or meetings, follow up with clients or team members to ensure action items are completed.

- Reporting & Analytics: Track and report on key metrics related to client bookings, operations, and service delivery.

- Personal Tasks: Occasionally assist with personal tasks for the CEO, such as making travel arrangements or handling personal appointments.

 

Requirements: 

- Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.

- Exceptional organizational and time management skills.

- Strong written and verbal communication abilities.

- High level of discretion and confidentiality.

- Ability to multitask and prioritize effectively in a fast-paced environment.

- Proficiency with Google Suite (Docs, Sheets, Calendar) and other relevant software tools.

- Attention to detail and proactive problem-solving skills.

- Cultural sensitivity and familiarity with the Egyptian market or a willingness to learn is a plus.

- Availability to work flexible hours, including weekends if necessary.
